How far ahead should we book?
As early as you can. Once the dates and the venue are signed, the photographer is next.
That’s the short answer. The better one is that you shouldn’t have to go looking every year.
Why keep the same photographer?
When you work with the same person, you know what you’re getting. They know your speakers, your venue and what your team actually uses afterward. Nobody has to explain the brief again, and the expectations are set before anyone walks in the door.
That’s what I’m after with the organizations I work with. One conference, then the next one, then the year after.
Is DC busier some weeks?
Yes. Spring is full of association meetings and Hill days, and fall brings another wave. If your conference lands in either, book earlier than feels necessary.
Can you bring video and audio?
I know good video and audio people. If you want them there too, tell me early and we can work out what makes sense.
What should we send with the request?
- The dates and hours.
- The venue.
- Roughly how many people.
- What the photos are for afterward.
That’s enough for a quote. A full day on site is $5,200, and what event photography costs covers the rest. If you’re comparing photographers, the questions to ask guide is a good place to start. More of my work is on Conferences, and you can reach me on Contact.
