The event planner's photo toolkit

What goes in the photographer’s brief?

One page is plenty. Everything I’d want before the day:

How do we mark photo moments in the run of show?

Add one column. Next to each line, a short note on what matters in it.

That’s it. It tells me where to be, and it tells you what you’ll get.

Who should be my contact on the day?

Someone who isn’t running the show. The planner is busy. A second person who knows the VIPs by sight and can grab them for a photo is worth more than any shot list.

Decide who gets what before the event, not after.

The full gallery usually comes back in one to two weeks. If you want a few photos to post the same day, same-day event photos covers how that works. What each group can use the photos for is set in the contract.

What should we send for a quote?

The date, the venue, the hours and roughly how many people. What event photography costs is on one page. The event photography shot list goes deeper on what belongs on a list.

I’ve been photographing conferences and galas for national organizations for about a decade, and I’m based in Northern Virginia. More is on Conferences, and a small evening program from start to finish is on An evening panel.
